Terms of Service

1. Agreement to Terms

By accessing or using VaultMate's services, you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using our services.

2. Description of Service

VaultMate provides a file hygiene and PII discovery platform that includes:

• Windows agent software for scanning files
• Web-based dashboard for managing devices and viewing reports
• Automated report generation (PDF, Excel, JSON)
• Compliance scoring and categorization

3. User Accounts

You are responsible for:

• Maintaining the confidentiality of your account credentials
• All activities that occur under your account
• Notifying us immediately of any unauthorized use

3a. Device Provisioning & Tokens

When deploying VaultMate agents to your devices, you agree to the following:

• One-Time Use Tokens: Each provisioning token generated for device registration is single-use only. Once a token is used to register a device, it cannot be reused or reassigned to another device.
• Token Expiration: Provisioning tokens expire 72 hours after generation. Expired tokens cannot be used and new tokens must be generated.
• Device Tracking: All provisioning tokens and their associated devices are tracked in your dashboard for security and audit purposes.
• Token Security: You are responsible for securely distributing provisioning tokens and agent packages within your organization. Do not share tokens publicly.
• Device Limit: You may generate up to 50 provisioning tokens at a time. Your subscription plan determines the maximum number of active devices.

4. Acceptable Use

You agree not to:

• Use the service for any unlawful purpose
• Attempt to gain unauthorized access to any systems
• Interfere with or disrupt the service
• Resell or redistribute the service without authorization

5. Subscription & Billing

SMB Plan: $75 per device per month, billed monthly.

Enterprise Plan: $7,500 first month (one-time onboarding fee), then $25 per device per month.

All fees are non-refundable except as required by law. You may cancel your subscription at any time, and your access will continue until the end of the current billing period.

6. Data Ownership

You retain all rights to your data. VaultMate does not claim ownership of any data processed through our service. We use your data solely to provide the service as described.

7. Service Availability

We strive for 99.9% uptime but do not guarantee uninterrupted service. We are not liable for any downtime or service interruptions.

8. Limitation of Liability

VaultMate shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the service.

9. Changes to Terms

We reserve the right to modify these terms at any time. We will notify users of significant changes via email or through the service.
